The Problem

A digital marketing agency was running a growing operation with an expanding client base, but the CRM was perpetually out of date. The founder and team weren't disciplined about updating it — not out of negligence, but because signals were scattered across too many tools.

Fireflies was capturing meeting transcripts. Email threads contained deal signals. Calendly bookings showed engagement intent. But none of it was making it into the CRM. Deals were going cold because nobody was following up on warm signals that were buried in other tools.

What We Diagnosed

The core issue wasn't a CRM problem — it was a data centralization problem with a follow-up problem layered on top. The agency had the data; it just wasn't connected.

We identified 12+ signal sources that should have been feeding the CRM:

  • Fireflies meeting transcripts and action items
  • Email opens, replies, and thread activity
  • Calendly bookings and reschedules
  • Slack mentions of client names
  • Proposal views and engagement
  • Invoice status changes

What We Built

Two layers:

Layer 1 — Automation: We built integrations that automatically pull signals from Fireflies, email, Calendly, and other tools into the CRM in real-time. Every meeting transcript gets summarized and attached to the right contact. Every email signal gets logged. Every booking gets recorded.

Layer 2 — Agent: On top of the centralized data, we deployed an AI agent that:

  • Reviews the CRM daily for stale deals (no activity in X days)
  • Identifies follow-up opportunities based on recent signals
  • Drafts follow-up messages for review
  • Flags deals at risk of going cold

The agent doesn't send anything autonomously — it surfaces what needs attention and drafts the outreach. The human decides.
