Is Google Gemini safe for work?
In Google Workspace, Google says Gemini does not use your prompts, content or responses to train its models without permission. On a personal Google account the terms are different: people may review some chats, and Google says not to enter confidential information. Use it through a Workspace account.

What Google Gemini does with your data, plan by plan
Gemini app with a personal Google Account
Yes, unless you turn it off
With Keep Activity on (the default for users 18 or over), chats are used to improve Google services, including training generative AI models, and some are read by human reviewers. Turning it off stops this for future chats. Source (opens in a new tab)
- How long it is kept
- Activity auto-deletes after 18 months by default; users can choose 3 or 36 months or no auto-delete. With Keep Activity off, chats are kept 72 hours. Human-reviewed chats are kept up to 3 years.
- Admin controls
- None. Each user manages their own Keep Activity, auto-delete, and Connected Apps settings.
Gemini in Google Workspace and the Gemini app on qualifying Workspace editions
No
Prompts count as customer data. Google says it does not use them to train generative AI models outside your domain without permission, and that content is not human reviewed. Source (opens in a new tab)
- How long it is kept
- Gemini app: admins choose auto-delete after 3, 18, or 36 months (default 18); with history off, chats are kept up to 72 hours. Workspace side panel: 90 days to indefinite, set by admins.
- Admin controls
- Admins can turn the Gemini app on or off, enable or disable Gemini features per Workspace service on supported editions, and set conversation retention. Vault, data loss prevention, and Information Rights Management controls apply.
Where your data is stored
On supported Workspace editions, Gemini prompts and responses are covered by data regions, at rest and during processing. Admins can choose the United States or Europe.

Our take
For a firm of 15 to 200 people
Use Gemini through your firm’s Workspace account, never a personal Google account. Check the third-party integrations setting as well: Google’s own admin help says its usual app controls don’t restrict them.
This is our reading of the facts above, not a rating. We have no product to sell and take no referral fee from any vendor.
