What can Gemini see and do in your Google Workspace?
Gemini connected apps retrieve only the Workspace content the signed-in person can already open, and respect rights restrictions on files. On a work account it can find and summarize Gmail and Drive content and manage calendar events, tasks and notes. It can’t draft or delete email or manage Drive files.

What a connector can see, and what it can do
What a connector can see
Gemini retrieves only Workspace content the signed-in user already has access to. It does not retrieve files a user cannot download, print, or copy under Information Rights Management, and client-side encryption can restrict access.
Source (opens in a new tab)What it can do
On work accounts, Gemini can find and summarize Gmail and Drive content and create, find, and edit Calendar events, tasks, and notes. It cannot create email drafts, delete emails, or manage Drive content.
Source (opens in a new tab)Who switches it on
Admins. Connecting Workspace apps to the Gemini app is on by default. Admins change it in the Admin console under Generative AI > Gemini app, by organizational unit or group. Conversation history must be on.

Workspace: Google says Gemini does not use prompts, Workspace content, or generated responses to train generative AI models without permission.

Custom apps added by MCP server URL are limited to personal Google Accounts (18 or over, in the US, Keep Activity on) and are not available on work or school accounts. Google does not secure third-party MCP servers.

Our take
Before you connect anything
Connecting Workspace apps to Gemini is on by default, so an admin should look at the setting before assuming it is off. Third-party integrations are read-only, which limits the risk, though not the visibility.
- Tidy permissions first. A connector can reach whatever the person who connected it can.
- Treat reading and acting as 2 separate decisions.
- Put the approved connectors in your AI use policy.
